Chief of Staff
Mechanism is an early-stage venture firm on a mission to build ambitious companies that make a massive impact. From tackling the $1.8T student debt problem to reducing carbon emissions, we are driven by purpose and the challenge of solving difficult problems. With a core team of 70 members spanning 13 countries, we have launched 13 companies, achieving an estimated annual revenue of $60M and growing over 100% annually. Every day at Mechanism is different and exciting as we engineer growth and success in a fast-paced environment that never has a dull moment.
Position Description
We are seeking a Chief of Staff to work directly with our Cofounder & CEO, Breanden Beneschott, to maximize his impact professionally and personally. Your mission is to become an essential extension of the CEO, turning thoughts into actionable systems and making problems disappear. You will be a force multiplier, embodying excellence, resourcefulness, and adaptability. Your work will enhance the company’s efficiency and free up the CEO’s time to focus on what matters most.
In this role, you’ll execute essential administrative duties, tackle strategic projects, and work cross-functionally across Mechanism to uplevel our internal operations. You will anticipate the needs of the CEO, help him focus on top priorities, and seamlessly shift as those priorities inevitably change. You’ll be a proactive problem solver, someone who flourishes in a collaborative environment and thrives when working with a dynamic team, yet can make decisions and drive processes independently. As you grow in this role, you’ll evolve into a true thought partner to the CEO, acting and making strategic decisions as his right-hand person.
If you’re excited about surrounding yourself with overachievers and building companies from scratch, this position offers both calendar and geographic freedom. Your work will be leveraged to improve Mechanism as we work to improve the lives of millions—or even billions—of people.
Key Responsibilities
- Strategic Initiatives: Act as a professional problem-solver, proactively handling everything from strategic business decisions to building systems and teams for Mechanism.
- Analysis and Operations: Engage in analysis, research, and interviewing job applicants on behalf of the CEO.
- Project Management: Tackle special projects, such as building playbooks, testing new ideas, and managing renovations.
- Team Enablement: Collaborate with other executives across Mechanism to build systems, help with training, and free up time for high-leverage work.
- Connection Builder: Help build business networks, coordinate in-person summits, and deepen personal relationships.
- Household Management: Help hire and train an in-person executive assistant and ensure operations are organized to support the CEO’s family.
- Administrative Management: Complete a wide variety of administrative tasks, including calendar management, serving as the primary point of contact for communication, and ensuring the CEO’s time is aligned with priorities through a demonstrated understanding of the business.
Skills, Knowledge and Expertise
- Experience: Experience as a Chief of Staff at a startup or experience supporting a successful startup founder or CEO is required.
- Operational Excellence: You must demonstrate speed and quality in execution, handle ambiguity well, and approach problems with a test-and-learn mindset. You must self-report progress regularly and ensure that speed does not compromise quality.
- Resourcefulness and Problem-Solving: Relentless resourcefulness, prioritization through ICE, decisive decision-making, and the ability to simplify complex problems are essential.
- Communication: You must have excellent oral and written communication skills and be highly responsive. You must be comfortable collaborating with people from all walks of life and geographies. You must also maintain an appropriate level of confidentiality.
- Attention to Detail and Analytical Skills: Strong attention to detail and a data-driven approach are required. You must be highly analytical and leverage data over intuition.
- Proactive Continuous Improvement: Continuous self-improvement and being intellectually honest and coachable are essential.
- Strong Commercial Mindset: We build companies from scratch and focus on early profitability, so you must have a strong understanding of what’s important/not at each stage of a company’s development.
- Technical Proficiency: Mastery of Google Workspace products and comfort with AI and common digital tools are required.
- Service Orientation: You must have a positive, warm, and charismatic demeanor with a focus on being service-oriented.
